What is ERP software?

In short

ERP (enterprise resource planning) puts core processes on one shared data foundation: master data, documents, finance, and often service or projects. For SMBs, suite size matters less than a workable start, German compliance, and room to extend later without another migration.

What does ERP mean in practice? Link to this section

ERP stands for enterprise resource planning. It means software that plans and steers central business resources: customers and suppliers, orders, stock, finance, and often people or production. The core is not a single module. It is the shared data foundation. A contact, a product, or an invoice number exists once and is reused in sales, service, and accounting.

ERP systems grew first in industry, where materials and manufacturing stay tightly linked. Today many mid-sized and smaller firms use cloud ERP because processes should run digitally without owning a server estate. The point stays the same: processes are connected, instead of being maintained twice in separate tools.

In day-to-day work that means quote, order, and invoice carry the same lines. Open items hang on the customer. Bank transactions can be matched. Reports draw from the same master data. That end-to-end flow is what separates ERP from a pile of isolated apps.

Which modules usually belong in an ERP? Link to this section

Classic ERP building blocks cover master data, sales and purchasing, warehouse, financial accounting, and reporting. Depending on the industry you may add production, project control, or field service. Not every company needs everything on day one. Modular systems let you start with finance and documents, then add service, inventory, or APIs later.

In Jupiter ERP, documents, accounting, banking, and optional modules such as service or the Account API sit on one platform. Tenants are separated: several companies or sites do not share data by accident. Roles and permissions control who sees documents or closes periods. Where helpful, the Jupiter AI assistant can answer questions about the open page, document, or field without leaving the panel.

How does ERP differ from plain accounting software? Link to this section

Plain accounting and invoicing tools focus on documents, tax, and the handover to the practice. That is enough for many solopreneurs and small service businesses. As soon as technicians need schedules, stock must be counted, or customers should use a portal, isolated tools hit limits. Then come exports, copy-paste, and conflicting master data.

ERP goes further: the same customer record feeds quote, job, and invoice. Inventory and projects hang on the same dataset. Banking and dunning use the same payment status. Accounting remains part of the system, but it is not the only purpose.

The choice is not a value judgement. If you only write invoices and collect receipts, you often do not need a full ERP. If you grow or run several process chains, a shared foundation saves time and error sources. A longer comparison is in the article on ERP versus accounting software.

What should SMBs look for when choosing? Link to this section

Start with time to value: how quickly can you set up the company, tax number, and first customer? Is there a Free plan or a trial that does not lock you in at once? Modular growth protects you from switching again after two years only because service or an API arrives.

German compliance is table stakes for many firms: GoBD-ready storage and traceability (the German principles for proper IT-supported bookkeeping), structured e-invoices where required, and an export your tax advisor can process. DATEV is the widely used software and data-exchange ecosystem in German tax practices; a DATEV-compatible export means fewer manual corrections at month end. Software does not replace tax advice. Agree with your practice which exports and period rules fit your business.

Security and tenant separation matter more once several users or companies are involved. Ask about roles, logs, and whether data stays strictly per tenant. APIs and webhooks pay off if you plan your own UIs or integrations. Prices and plan limits should be clear, so DATEV export or period lock are not a surprise later.

  • Start: master data and first invoice in a manageable time
  • Modules addable later without a data migration
  • Align GoBD, e-invoicing, and DATEV-capable export with your practice
  • Tenant separation and permissions for teams
  • Clear plan limits (for example DATEV from Business)

Where does Jupiter ERP fit? Link to this section

Jupiter ERP is a cloud ERP for SMBs and founders: a lean start through documents and finance, extendable with banking, service, inventory, and the Account API. There is a Free plan for getting started with invoicing. Features such as DATEV export and period lock belong to the Business plan.

Outgoing e-invoices in Jupiter ERP are ZUGFeRD 2.x with the EN 16931 profile inside the PDF. Multi-tenant architecture separates tenants technically. The platform page describes trust signals and operations. Whether the system fits your process is a decision with your tax advisor and a concrete test on real documents.
