A partial invoice and a final invoice are not separate document types. It stays an invoice, with the same number series and the same print layout. The type changes the heading on the printout and, when the subject still matches the previous type, the subject as well.
The type is on the invoice under Type, once service orders are included in your subscription. Without that module, partial invoice and final invoice cannot be selected.
| Type | Heading on the printout |
|---|---|
| Invoice (default) | Invoice |
| Partial invoice | Partial invoice |
| Final invoice | Final invoice |
If the subject is empty or starts with Invoice, Partial invoice, or Final invoice, Jupiter ERP sets it to the new type. A subject you wrote yourself stays as it is.
On the e-invoice, a partial invoice is marked as a partial invoice. A final invoice and a normal invoice stay an invoice.
Without an order
You can set the type even when no order is linked. Then only the heading and the subject change. There is no open quantity and no lock.
With an order
On the order you choose the type in the Take over lines dialog (see Create and bill service orders). The invoice takes the quantities you selected. Quantities that are already billed do not appear again on the next invoice, as long as you stay with the open quantity.
Partial invoice. The order stays open. Even when open billing is then zero, you can add a line or raise a quantity later and bill again. A partial invoice does not lock the order.
Final invoice. Each order has one final invoice. A draft already counts. A second one is rejected until the first is cancelled or fully credited. The dialog selects the lines that are still open. You may lower the quantities. What you leave off cannot be billed after the invoice is locked.
After it is locked (status no longer draft), further lines on the order stay blocked until this final invoice is cancelled or fully credited. A partial credit note frees only the credited quantity. You can bill that with another invoice, not with a second final invoice.
Delivery notes and credit notes do not have this type. A delivery note counts as delivered and does not reduce billing. A credit note reduces the billed quantity, at most by the part that is not yet credited.
Payment does not change the quantities. The open amount and dunning stay on the individual invoice (see Understand invoice status).
Common questions
Does a partial invoice bill a down payment?
No. A partial invoice bills part of the quantities. The remaining quantities stay open. It does not book a fixed amount that leaves the quantities untouched.
Does every partial invoice need a final invoice?
No. You can write several partial invoices and keep adding to the order. Use the final invoice when the job should be closed commercially.
Which number does the partial invoice get?
The same number series as any other invoice, using the pattern under Documents → Settings → Numbering.
